1. 01What we collect

   • Contact form: your name, email address, subject and message.
   • Member sign-in: your university email address and, after you sign in, a session record with the device's IP address and browser type, used to keep you signed in and to protect your account.
   • Event registration: your name, email address, branch and year of study and the events you register for. No account is needed. The club uses branch and year only in aggregate (for example, how many students from each year attended). If you choose "Continue with Google", Google shares only your name and verified email address with us for that registration; we do not get access to your Google account.
   • Paid events: the payment amount, status and the reference numbers issued by our payment provider. Card, UPI and bank details are handled by the payment provider and never reach or are stored by this website.
   • Team profiles: the name, position, photo and social links of club members who have agreed to be listed.

2. 02How we use it

   • To reply to your message, run club events and manage registrations and member access.
   • To keep the site secure: limiting repeated requests and blocking automated abuse.
   • We do not sell personal data, and we do not use it for advertising.

3. 03Who can see it

   Only club members whose role requires it can see personal data, and every change to roles is logged. Contact messages are visible to administrators only. We use these service providers to run the site, each only for its stated purpose: website hosting, a managed database, an email delivery service for sign-in codes, Cloudflare Turnstile to tell people from bots on forms, a rate-limiting service, an image host for photos, Google Maps for the location map, and Razorpay for payments.

4. 04Cookies and local storage

   • A sign-in cookie is set only when you sign in, and is needed for member pages to work.
   • Your light or dark theme choice is saved in your browser's local storage. So is which home-page animation you saw last (so the next visit shows a different one) and your best score in the home-page game. None of this is sent to us.
   • Cloudflare Turnstile may set cookies needed to check that a form is submitted by a person.
   • The map on Contact Us is provided by Google Maps, which may set its own cookies when the map loads.
   • This site does not currently use analytics or advertising cookies. If analytics are added, they will load only after you agree.

5. 05How long we keep it

   We keep personal data only as long as the club needs it for the purpose it was collected: contact messages until they have been dealt with, registration records for the club's records of the event, and sign-in sessions until they expire or you sign out. Team profiles stay in the archive of past teams unless the member asks for removal.

6. 06Your choices

   You can ask us to show, correct or delete the personal data we hold about you, or to remove your team profile, by writing to us through Contact Us. We follow applicable Indian data protection law, including the Digital Personal Data Protection Act, 2023, and university policy.

7. 07Changes

   If this page changes, the date at the top changes too. Significant changes will be highlighted on the website.
